Julphar was challenged with manual and paper-based quality management processes. Everything from change control, deviations, investigations and CAPAs (Corrective and Preventive Actions), audit and complaints were paper files that were transferred from one department to the other and filed away. Furthermore, these process were often disconnected and did not support the desired level of accountability. This made it difficult to assign, manage and track quality process tasks and lead to a lack of continuity between processes, poor visibility and inability to effectively conduct proper analysis. They acknowledged that this disconnected and outdated approach to quality management posed increased regulatory compliance risk to the organization. Reports would get lost within the organization or be filed improperly, and collecting and reporting on information from various teams took considerable time and effort.
Lack of data visibility among key team members, employees were adversely impacted by the resulting email overload. Additionally, information on events and deviations did not always reach the correct individuals through email channels and had to follow up through in-person or calls.
The use of spreadsheets and departmental databases created the potential for lost records, overdue investigations, and duplicate documents, and presented the risk of not meeting compliance regulations.
